How the moving budget is calculated

Your total upfront moving budget is the sum of five cost categories. Each is calculated independently so you can see exactly where your cash goes — and which line items are worth negotiating.

Total=Movers+Move-in+Overlap+Travel+Other

Lean estimate = total with the low end of the mover range (all other costs fixed). Comfortable estimate = total with the high end of the mover range. The mover cost is the most variable line item — deposit and rent costs are deterministic once you know your destination city.

Truck & movers
Midpoint of low–high range for distance × home size × method

Ranges are sourced from US market data and scaled by country multiplier (UK 0.7×, AU 1.1×, CA 0.95×). DIY includes truck rental and fuel estimate; professional includes labour, packing materials, and insurance.

Regional pro move, 1BR → midpoint of $1,100–$2,600 = $1,850

Move-in & deposits
First month + deposit + last month (if required) + broker fee (city-specific)

Deposit rules are loaded per city: NYC/Boston add a broker fee (~1 month); Toronto/Ottawa apply Ontario's first + last month (no deposit); UK cities apply the 5-week cap; Australian cities apply the 4-week bond. Selecting a city auto-applies the correct rule.

Toronto 1BR at CA$2,600/mo → first + last = CA$5,200 (no separate deposit)

Overlap rent
Overlap cost = monthly rent ÷ (52 ÷ 12) × overlap weeks

Dividing by 52/12 (≈4.333) converts monthly rent to a weekly equivalent. You can toggle whether you're paying origin rent, destination rent, or both during the overlap period. One week of overlap on a $2,500/mo apartment costs $577.

$2,000/mo rent × 2-week overlap = $2,000 ÷ 4.333 × 2 = $923

Travel
User-entered estimate for flights, gas, hotels, and car rental

The default is set to a reasonable regional estimate for your country ($350 US, £150 UK, CA$400 Canada, A$300 Australia). For cross-country drives, factor in hotels per night (~$80–$180/night), gas, and tolls. For flights, add checked bag fees and ground transport at both ends.

NYC → Austin flight $280 + Uber $45 + 1 hotel night $120 = $445 travel

Other fees
Lease break fee + utility & internet setup + misc buffer (all user-entered)

Lease break fees vary widely — some landlords charge 2 months' rent, others just a few hundred dollars. Utility setup covers connection fees and first bills (~$200–$300 typical). The misc buffer catches parking, cleaning, small furniture, and surprises.

Lease break $1,500 + utilities $280 + misc $200 = $1,980

Moving budget guide

Everything you need to know about what goes into a moving budget — defined.

What is a moving budget?

A moving budget is the total cash you need to have available on or before move-in day — not just the truck. It includes the security deposit (typically 1 month's rent in the US, 4 weeks in Australia, 5 weeks in the UK), the first month's rent due at signing, any broker or finder fee (common in NYC and Boston), travel to the new city, and any overlap period when you're paying two leases at once. Most first-time movers underestimate by 40–60% because they only account for the truck.

What is a security deposit?

A security deposit is money you give the landlord at lease signing to cover potential damage or unpaid rent. It is refundable — you get it back at move-out if the apartment is left in good condition. In the US, most states cap deposits at 1–2 months' rent. California caps it at 1 month (as of July 2024). New York and Massachusetts cap at 1 month. States like Texas, Florida, Georgia, and Illinois have no statutory cap, though 1 month is the market norm. With excellent credit (750+), some landlords will accept a reduced deposit or waive it entirely.

What is a broker fee?

A broker or finder fee is a one-time payment to the real estate agent who helped you find the apartment. In most US cities, landlords pay the agent — tenants pay nothing extra. New York City and Boston are the main exceptions: tenant-paid broker fees of one month's rent (or 12–15% of annual rent in NYC) are common when renting through a listing agent. Canada, the UK (since 2019), and Australia have all banned landlords from passing agent fees to tenants.

What is overlap rent when moving?

Overlap rent is the cost of paying two leases simultaneously during the transition — which nearly every mover faces. If your new lease starts February 1 but you can't leave the old apartment until February 14, you're paying 2 weeks of rent at both addresses. On a $2,000/month apartment, one week of overlap costs about $461 ($2,000 ÷ 4.33). Planning a 2-week overlap on a $3,000/mo destination apartment adds $1,385 to your budget. Avoiding even one week of overlap is often worth negotiating for in your lease start date.

DIY truck rental vs professional movers: cost comparison

DIY truck rental (U-Haul, Penske, Budget) for a 1-bedroom local move runs $150–$450 including mileage, gas, and basic supplies. A 1-bedroom cross-country rental is $1,300–$3,000 one-way plus fuel — add $200–$400 in gas for a 2,000-mile drive. Professional movers for the same local move cost $650–$1,150; cross-country runs $4,200–$9,500 with packing included. The break-even point for hiring movers is typically around $3–4 per mile of haul distance. Portable containers (PODS, U-Pack) sit between DIY and full-service at $1,500–$3,500 for cross-country 1-bedroom.

How much should I save before moving?

A reliable rule: save 3× your new monthly rent before signing a lease in the US. This covers first month ($1× rent) + security deposit ($1× rent) + one month's buffer ($1× rent) for moving costs and overlap. In NYC or Boston, budget 4× rent to cover the broker fee. Canadian renters in Ontario need 3× rent (first + last + moving). UK renters need ~2.3× monthly rent (first month + 5-week deposit + removals). Australian renters need ~2.5× monthly rent (first month + 4-week bond + removalists). Add your actual mover quote once you have it.

Hidden moving costs most people forget

Beyond the obvious deposit and truck, budget for: utility connection fees and security deposits (electricity, gas, internet — typically $200–$400); parking permits for the moving truck (required in NYC, London, many dense cities); elevator booking fees in high-rise buildings ($50–$200); packing materials (boxes, tape, bubble wrap — $100–$300 DIY, $400–$800 if movers pack); cleaning fees at the old apartment ($150–$400); storage units if there's a gap between move-out and move-in; and moving insurance (essential for interstate moves — typically 0.5–1% of shipment value).

How to reduce your moving budget

The single biggest lever is timing: professional movers charge 20–40% more in summer (June–August) and at month-end. A Tuesday–Thursday mid-month January move is the cheapest slot of the year. Get at least 3 binding quotes — not estimates. Sell heavy items (sofas, mattresses, dressers) instead of shipping cross-country; replacing them is often cheaper than the freight cost. Avoid overlap by negotiating your lease start date to match your move-out date within a week. For a DIY option, portable storage containers (PODS, U-Pack) let you load at your own pace without renting a truck.

What is a lease break fee?

A lease break fee is the penalty for leaving a fixed-term lease before it ends. Most leases specify 1–2 months' rent as the penalty, though some require you to find a replacement tenant and charge only an admin fee ($200–$500). If you're on a month-to-month lease, 30–60 days' notice is typically all you need — no penalty. Always check your lease's 'early termination' or 'surrender' clause before committing to a move date. In the UK, this is called a 'break clause' — many fixed-term ASTs allow one after 6 months with 2 months' notice.

Frequently asked questions

Most renters need 2–4 months of destination rent in cash upfront (first month, security deposit, last month where required) plus moving costs. A regional US move often totals $3,500–$8,500; cross-country runs $6,000–$15,000+ before overlap rent and travel. Canadian cities are similar in CAD. UK renters typically need 6–7 weeks of rent upfront (first month + 5-week deposit cap). Australian renters need 5–6 weeks (first month + 4-week bond in most states). Use this calculator with your actual rent quote and overlap weeks for a personalized number.

Overlap rent is paying two leases at once while you move — common for 1–4 weeks when you can't perfectly align move-out and move-in dates. Budget weekly rent × overlap weeks at both origin and destination if paying both. One avoided overlap week often saves $400–$800+ in high-rent cities like New York, Toronto, or Sydney.

The calculator uses a table of low–mid–high mover cost ranges indexed by distance (local, regional, long-distance, cross-country) and home size (studio through 3BR), with separate values for DIY truck rental and professional movers. The midpoint of the range is used as the default estimate. The 'Lean' total uses the low end; 'Comfortable' uses the high end. All US-based ranges are scaled by a country multiplier for Canada (0.95×), UK (0.7×), and Australia (1.1×) to reflect local labour and fuel markets.

In the US, DIY truck rental is usually $200–$800 for regional moves and $1,200–$3,200 for cross-country hauls, plus gas. Professional movers for the same distances often run $900–$3,200 (regional) or $3,500–$12,000+ (cross-country). In Canada, costs are roughly similar in CAD. UK removals companies typically run £600–£2,500 for regional and £1,500–£5,000+ for long-distance. Australian interstate removalists run A$1,200–A$4,000+ depending on distance and volume.

In New York City and Boston, broker or finder fees of one month's rent are common when renting through an agent. Many other US cities have no broker fee. In Canada, landlords generally pay the agent — no tenant broker fee. In the UK, the Tenant Fees Act 2019 banned letting agent fees; only a holding deposit (max 1 week's rent) is permitted before signing. In Australia, no upfront agent fees are charged to tenants.

US: typically 1–2 months rent as security deposit; NYC and Boston also charge a broker fee. Canada: Ontario allows first and last month's rent only (no separate deposit); BC, AB allow a damage deposit of ½ month's rent; Quebec allows no advance payment beyond first month. UK: capped at 5 weeks' rent (Tenant Fees Act 2019). Australia: bond is 4 weeks' rent in most states, held by a government authority, not the landlord. Select your destination city to have local rules applied automatically.

Overlap rent = monthly rent ÷ (52 ÷ 12) × number of overlap weeks. Dividing by 52/12 (≈4.333) converts your monthly rent to a weekly cost. For example, $2,000/mo ÷ 4.333 = $461/week. Two weeks of overlap costs $923. The calculator lets you choose whether you're paying origin, destination, or both leases during the overlap period.

The 'Lean' estimate uses the low end of the mover cost range — the cheapest realistic quote for your distance, home size, and move method. The 'Comfortable' estimate uses the high end of the same range. All other costs (deposits, overlap rent, travel) are deterministic once you know your city and rent, so the mover cost is the main variable. The difference between lean and comfortable can be $2,000–$5,000+ on a professional cross-country move.

The move-out calculator answers 'Can I afford my first apartment here?' with income, emergency fund, and ongoing monthly costs. This moving budget calculator is for people actively relocating — it totals one-time cash for the haul, new lease signing, overlap, and travel. Use both: this tool for the move itself, move-out for whether you can sustain rent after you arrive.

Yes. Higher rent doesn't always mean worse purchasing power if salaries are higher too. After building your move budget, use the relocation salary calculator to see what gross income you'd need in the new city to match your current lifestyle — and whether your offer clears that bar after tax.

Budget for a lease break fee if you're leaving a fixed-term lease before its end date. Penalties vary widely: some landlords charge 1–2 months' rent; others require you to find a replacement tenant and charge only an admin fee ($200–$500). Always review your lease's early-termination clause before committing to a move date. If you're month-to-month, a standard 30–60 day notice is usually sufficient with no penalty.

Utility and internet setup typically costs $200–$400 in the US (electricity/gas connection fees, first month, internet installation), £150–£250 in the UK, CA$250–$350 in Canada, and A$200–$300 in Australia. Some landlords include utilities in rent; others require you to set up accounts before move-in. Budget for at least one billing cycle before your first paycheque from the new job arrives.

The cheapest full-service option is a portable storage container (like PODS or U-Pack) — you load it at your pace, they drive it. Typical cross-country 1BR cost: $1,500–$3,000. DIY with a one-way truck rental (e.g. U-Haul, Penske) runs $1,200–$3,200 for a 1BR including fuel — add $200–$400 for gas on a 2,000-mile drive. Shipping via freight is cheaper for small loads. Selling heavy furniture and buying new at the destination often beats cross-country shipping costs on items like sofas, beds, and dressers.

This calculator provides mid-market estimates based on 2026 industry data. Actual mover quotes depend on exact weight, access conditions (stairs, elevators, parking), seasonality (summer moves are 20–40% more expensive), how far in advance you book, and whether you accept a binding or non-binding estimate. Use this calculator to ballpark your budget, then get 3+ binding quotes from licensed movers (FMCSA-registered in the US, RHA members in the UK) to confirm your actual cost.

Yes — especially with a strong rental history or good credit score (750+). Offer to pay 2–3 months of rent upfront, provide a larger earnest deposit as a show of good faith, or offer to sign a longer lease term in exchange. In a soft rental market (vacancy rates above 5–6%), landlords are often open to negotiation. Providing a reference letter from a previous landlord and a credit report proactively strengthens your position.

Your deposit is returned (with interest in some states) minus deductions for damage beyond normal wear-and-tear, unpaid rent, or cleaning costs. 'Normal wear and tear' means minor scuffs, small nail holes, and carpet wear from regular use — this cannot be deducted. Landlords must return deposits within a set deadline: 14–21 days in most US states, 10 days in BC, 30 days in the UK, 14 days in most Australian states. Document the apartment with dated photos at both move-in and move-out.

At a 20% monthly savings rate, saving 3× your new city's average rent takes 15 months. Saving 20% on a $4,500/mo salary takes $900/mo; to save $6,000 (3× a $2,000 destination rent) takes about 6–7 months. The fastest way to accelerate: reduce your current rent by getting a roommate, pick a move date 6+ months away, and automate a dedicated 'move fund' savings account. The calculator's savings field shows exactly how much more you need to reach your budget.

First month's rent is required by all landlords at lease signing — it's simply your first payment counted against your tenancy. Last month's rent is an additional month paid upfront that the landlord applies to your final month's bill when you leave. This is most common in Massachusetts (legally permitted and frequently requested) and mandatory in Ontario, Canada. In most other US states, last month's rent is not standard — only a security deposit plus first month is typical. The calculator automatically applies last-month requirements for cities where they're standard.
